RECOMMENDATION
Approve a Resolution authorizing the revision to the Interim City Hall Project to reflect a separate project budget sheet titled Interim City Hall – 150 City Park Way and Park and Recreation Facility, CIP Project No. 337-3141, and approve the amended projects costs not to exceed $320,000.

PREVIOUS ACTION
On September 11, 2002, the City Council accepted the City Hall Needs Assessment Report and directed staff to prepare a strategy to address interim space needs for City Hall employees.

On February 11, 2003, a status report for interim space needs for existing City Hall and City Hall employees was given to Council and direction to move forward with a design for improvements to the 120 Oak Street Facility was authorized.

On May 27, 2003, the City Council adopted the 2003/04 CIP budgeting program of which this project is included.

BACKGROUND
In order to simplify the tracking of project costs associated with Interim City Hall projects, the Ad Hoc Committee met to discuss the 120 Oak Street (interim) project and at this meeting, it was suggested that it would be beneficial to track the costs separately for each location. Staff suggests separating the projects by removing the 150 City Park Way and Park and Recreation portions of the project from the general Interim City Hall project and creating a CIP budget sheet for this work. This exercise gave staff an opportunity to evaluate some of the costs associated with the proposed work to be performed at the 150 City Park Way facility. The attached construction budget contains costs associated with a new floor plan to house Administration and Finance, and allows for minor changes to accommodate the Parks and Recreation Department at their primary location. The budget now includes the replacement costs for two mechanical HVAC units in the rear trailers. Both of these units are nearing the end of their expected life capacity and should be replaced as they shut down on a regular basis.

FISCAL IMPACT
Funding for the Interim City Hall – 150 City Park Way and Park and Recreation Project, CIP Project No. 337-3141, derives from Community Facility Fees.

RESOLUTION NO.

A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF BRENTWOOD AUTHORIZING THE REVISION TO THE INTERIM CITY HALL PROJECT TO REFLECT A SEPARATE PROJECT BUDGET SHEET TITLED INTERIM CITY HALL – 150 City Park Way AND PARK AND RECREATION FACILITY, CIP PROJECT NO. 337-3141; AND APPROVE THE AMENDED PROJECT COSTS NOT TO EXCEED $320,000.

WHEREAS, on September 11, 2002, the City Council accepted the City Hall Needs Assessment Report and directed staff to prepare a strategy to address interim space needs for City Hall employees; and

WHEREAS, on February 11, 2003, a status report for the interim space needs for existing City Hall and City Hall employees was given to Council and direction to move forward with a design for improvements to the 120 Oak Street Facility was authorized; and

WHEREAS, on May 27, 2003, the City Council adopted the 2003/04 CIP budgeting program of which this project is included; and

WHEREAS, staff suggests separating the interim costs associated with each project for each location; and

WHEREAS, staff analyzed proposed work to be performed and prepared a budget sheet to support the project.

NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Brentwood, that the Interim City Hall – 150 City Park Way and Park and Recreation Facility is now tracked as a separate project, CIP Project No. 336-3141.

BE IT FURTHER RESOLVED that the project budget is estimated to be $320,000.

PASSED, APPROVED AND ADOPTED by the City Council of the City of Brentwood at a regular meeting on the 26th day of August 2003 by the following vote:
