Subject/Title:     Authorize the City Manager to enter into a contract with DATA911 to upgrade the Police Computer Aided Dispatch and Records Management System

Submitted by:    Police Department (Shaw, Davies)

Approved by:     Jon Elam, City Manager

Authorize the City Manager to enter into a contract with DATA911 to upgrade an install the Millennium CAD/RMS system

In the City’s efforts to have all systems Y2K compliant it is necessary to upgrade the Police Department Computer Aided Dispatch and Records Management System.  Because of a scheduling conflict, DATA911 was unable to upgrade the Police software to the new Millennium system.  However, they did install a temporary Y2K patch to the existing system with the condition that the City would upgrade to their new Windows based system.

If the City decides not to install the Windows based system, DATA911 will bill the City $60,000 for the patch made to the existing system.  For an additional $38,200, the Police Department would be upgrading to the current CAD/RMS technology for Police reporting and data retrieval.  This cost also includes one license for Computer Aided Dispatch.

Should the City wait to upgrade to the Millennium system, the cost will be significantly higher, $60,000 for the patch plus an additional $103,000 for the Windows based system.

The funds for this system have been provided for in the Information Systems Capital Project 336-3098.
