CALL TO ORDER
The meeting was called to order at 7:05 p.m.
Commissioners Mickell Escobar, Taylor Brinkman, Belinda Ordaz, Matthew Strauss, Luke Barnesmoore, and Stephanie James were present. Adult Advisors present were Julie Truesdell and James Martinez. PAL Liaison Mark Louwerens was present. City Staff Liaison Barbie Gary was present. Commissioners Sarah Simmons, Christine Mendez, Leah Hocking and Brianna Swisher were absent.
There were no changes to the agenda.
Commissioner Barnesmoore pulled Consent Item #3: Approve additional funding not to exceed $100 for the Girls Circle Program to purchase additional program curriculum and supplies. (C. Mendez). Additional funding is needed to pay for the tax and shipping fees on the program materials.
Commissioner Brinkman made a motion to approve the consent calendar including additional funding not to exceed $100 for the Girls Circle Program. Commissioner Barnesmoore seconds. All were in favor.
• DISCUSSION ITEM Update from sub-committee on plans for the Youth Activity Night, to be held on Friday, May 4, 2007 from 6-9 p.m. (S. James)
Commissioner James advised that the event will be held at the Brentwood Community Center, flyers have been distributed to the middle schools and announcements for the school newsletters have been submitted. A schedule of activities was distributed and commissioners selected activities for which they will be responsible to lead. It was agreed that registrations would be accepted at drop-off.
• DISCUSSION ITEM Update on fundraising event through Pick Up Stix Restaurant held on Sunday, April 29, 2007. (S. Simmons)
Commissioner Ordaz advised the Pick Up Stix fundraiser took place on Sunday, April 29, 2007 from 12:00 p.m. to 9:00 p.m. City Staff Liaison Gary announced that no money was raised as there were zero patrons at the restaurant on behalf of the Youth Commission. Commissioners Brinkman, Strauss and Barnesmoore don’t recommend doing this fundraiser again and suggested that perhaps the choice of restaurant may have affected the outcome. Similar types of fundraisers may be conducted in the future with more consideration as to the restaurant selected.
• DISCUSSION ITEM Results of recruitment for Youth Commission openings for 2007 – 2008 and update on the interview schedule. (B. Swisher)
City Staff Liaison Gary advised that twenty (20) applications have been received. There were sixteen (16) Youth Commission and two (2) Adult Advisor applications submitted by the deadline and completed in full. There were two (2) additional applications received but were disqualified for being incomplete. The Executive Committee will meet on May 14th to review the applications and interviews will be scheduled shortly thereafter. City Staff Liaison Gary would like to present the recommendations to City Council at the June 12th meeting.
• DISCUSSION ITEM Update on the Spring to Life Family Fun Run and Health Expo fundraiser held on Saturday, April 28, 2007. (M. Escobar)
Commissioner Escobar announced that twenty-four (24) volunteers assisted on behalf of the Youth Commission. Money raised for their volunteer efforts is yet to be determined. City Staff is awaiting final invoices and expenses from the event in order to calculate net proceeds. Event staff commented that the Youth Commission did very well and represented the Commission positively.
• DISCUSSION ITEM Update on Tour de Starbucks fundraising event scheduled for Saturday, June 2, 2007. (L. Hocking)
PAL Liaison Louwerens met with the store manager to discuss event details. The store manager suggested having gift baskets and selling raffle tickets as a means for additional fundraising. The sub-committee is seeking donations from local businesses for raffle prizes. PAL has a bicycle, signed by Gorilla-Rilla, to be raffled off. It was discussed to advertise the event in the Brentwood Press and with flyers at the Garin Ranch store. Event day registration will take place at 8:00 a.m. at the Garin Ranch location. Commissioners are advised to arrive at 7:30 a.m. to assist with set-up. City Staff Liaison Gary would like the commissioners to notify her by May 15th if they will be attending.
• DISCUSSION ITEM Status report on Youth Commission scholarship program offered at Liberty High School. (L. Barnesmoore)
Commissioner Barnesmoore advised that two (2) $1,000 scholarships are available to be awarded to a male and female senior. City Staff Liaison Gary advised that seven (7) applications were received. Only one scholarship will be awarded as all applicants were all female. Liberty High School must be notified of the selected recipient by May 16th. The sub-committee will review the applications and select the recipient.
• ACTION ITEM Request staff to schedule a presentation to City Council regarding the Youth Commission’s Year in Review and next steps. (M. Strauss)
Commissioner Strauss advised that the Youth Commission has traditionally made a presentation to City Council detailing the Year in Review, honoring outgoing members and presenting future plans for the next fiscal year. City Staff Liaison Gary recommends the Commission prepare a PowerPoint presentation including photos from the year’s events and activities. Commissioners Strauss and Brinkman will prepare the presentation. Several Commissioners expressed an interest in attending the City Council meeting on June 12, 2007.
Commissioner Strauss made a motion to approve attending the City Council meeting and presenting a Year in Review on June 12, 2007. Commissioner James seconds. All were in favor.
• DISCUSSION ITEM Discussion regarding feasibility of offering another Battle of the Bands competition and fundraiser. (T. Brinkman)
Commissioner Brinkman advised that due to previous commitments and assignments, it is not feasible to host another Battle of the Bands this summer. He will ask the PAL Board if they want to take the lead in organizing such an event this summer or consider delaying it until school has resumed. It is difficult to advertise a summer event during school break.
Commissioner Brinkman will write to State Senator Tom Torlakson, who is an avid cyclist, and personally invite him to participate in the Tour de Starbucks.
Adult Advisor Truesdell informed the Commission that Jamba Juice also conducts fundraisers. She believes Jamba Juice provides the smoothies, allows the organization to stand outside the store giving away free smoothies and receive donations. She will research this further.
City Staff Liaison Gary informed the Commission of a web site and email list of other youth commissions in California. It may be a good resource to share information and ideas. Barbie will distribute the web site address to those interested.
