Youth Commission Minutes - December 1, 2010

The meeting was called to order at 7:05 p.m. by Chair Matt Strauss.

Commissioners Katie Barsanti, Bailey Hamblin, Madisun Marquez, Anthony Montes, Kimberly Montes, Paige Ross, Jack Strauss, Matthew Strauss and Chris Walker were present. Commissioner Allyson Spears was excused. Adult Advisor Dave Castle was present. Adult Advisors Laura DeLaCruz and Steve Walker Advisor were excused. Police Liaison Chris Peart was present. City Staff Liaison Barbie Gary was present.

Ms. Peyton Hamblin addressed the Youth Commission on behalf of Bristow Middle School. She advised the commission that Bristow Middle School is hosting a Winter Dance on December 3, 2010. Other school events scheduled are a canned food drive; Box Tops for Education collection competition; Girls 7th & 8th Grade Basketball tournament; Boys Basketball try-outs and the choir performing at the Senior Center.

Ms. Rachel Kennealy addressed the Youth Commission on behalf of Adams Middle School. She advised that her school is organizing a canned food and toy drive; collecting soda tabs; 8th Grade play; band concert and basketball games. They hosted a dance before fall break.

2. Accept Fiscal Status for 2010/11 budget year. (K. Montes)

3. ACTION ITEM: Discussion regarding visiting local middle schools to increase middle school student involvement with the Youth Commission and establish a committee to coordinate. (K. Barsanti)

Commissioner Barsanti advised that committee members visited middle school leadership classes in past years to promote the Youth Commission. They would provide Youth Commission applications; ask for help in advertising the middle school dance which was hosted by the Youth Commission and any other special events.

Volunteers interested in serving on the Middle School Involvement Committee are Commissioners J. Strauss, Barsanti, M. Strauss, K. Montes and Marquez. Police Liaison Chris Peart volunteered to serve as the adult advisor.

Commissioner J. Strauss motioned to reappoint new members to the Middle School Involvement Committee comprised of Commissioners J. Strauss, Barsanti, M. Strauss, K. Montes, and Marquez, with Barsanti serving as chairperson and Police Liaison Chris Peart as the adult advisor.

4. DISCUSSION ITEM: Update from the Youth Leadership Committee. (B. Hamblin)

Commissioner Hamblin was pleased to have school representatives present from the Youth Leadership Committee. In addition to the representatives present from Bristow and Adams Middle School, she also has several students from Liberty and Heritage High Schools interested in participating with the committee but they were unable to attend tonight’s meeting. She is in contact with potential representatives from Edna Hill Middle School and Freedom High School but things are progressing slowly.

City Staff Liaison Gary offered to put presentations on the agenda if the speakers are confirmed in advance.

5. ACTION ITEM: Report from the Fundraising Committee and approve date, time and location for the next middle school dance fundraiser and approve a budget not to exceed $300 for event supplies. (B. Hamblin)

Commissioner Hamblin advised that both dates are fine for Bristow and Edna Hill Middle Schools. However, the date of March 11, 2011 is the preferred date, by the committee, for the dance as it’s the Friday before Spring Break begins. The Fundraising Committee will discuss possible themes and the refreshments that will be sold.

Commissioner Hamblin opened the discussion about how to improve the ticket sales. Other topics including posting rules; including capacity limit on the flyer; counting wristbands; increased chaperones, and creating a crowd control line were also discussed.

Motion to approve the Middle School Dance on March 11, 2011 at the Brentwood Senior Activity Center from 6:00 – 9:00 p.m. and approve a budget not to exceed $300 for event supplies.

Chair Strauss inquired when the Youth Commission and scholarship applications would be available. He also asked to have the applications forwarded to the Executive Committee for review.

City Staff Liaison Gary advised they would be available in February. She will forward the applications as requested.

City Staff Liaison Gary presented an opportunity for the Youth Commissioners to volunteer at the Christmas Tree Lighting event on Friday, December 3, 2010. Volunteers are needed at 5:30 p.m. as the event starts at 6:00 p.m. and the tree lighting at 7:00 p.m.
