Youth Commission Minutes - November 3, 2010

CALL TO ORDER
The meeting was called to order at 7:05 p.m. by Chair Matt Strauss.

ROLL CALL
Commissioners Bailey Hamblin, Madisun Marquez, Anthony Montes, Kimberly Montes, Paige Ross, Allyson Spears, Jack Strauss, Matthew Strauss and Chris Walker were present. Commissioner Katie Barsanti was excused. Adult Advisor Steve Walker was present. Adult Advisor Laura DeLaCruz arrived at 7:10 pm. Adult Advisor Dave Castle and Police Liaison Chris Peart were excused. City Staff Liaison Barbie Gary was present.

CONSENT CALENDAR
1. Approve special meeting minutes of October 13, 2010. (M. Strauss)
2. Accept Fiscal Status for 2010/11 budget year. (K. Montes)
3. Accept Monthly Status Report (B. Hamblin)

SCHEDULED MATTERS
4. ACTION ITEM: Determine Commissioners interest in participating in the Chamber of Commerce Holiday Parade on November 20, 2010 and approve application fee of $20 if participating. (B. Gary)

City Staff Liaison Barbie Gary said the Youth Commission participated in the parade last year however there is no obligation to participate. She noted a correction regarding the application fee, which is actually $25.00 rather than $20. This parade will be held at the Streets of Brentwood at 3:30 p.m.

Staff Liaison Gary noted that at least four commissioners should participate and the Commission will need to provide their own vehicle. The following commissioners indicated they might be interested in participating: Bailey Hamblin, Kimberly Montes, Anthony Montes, Jack Strauss and Madisun Marquez.

5. DISCUSSION ITEM: Determine Commissioners interest in volunteering at the Annual Christmas Tree Lighting Ceremony on Friday, December 3, 2010.

City Staff Liaison Barbie Gary said in previous years the tree lighting took place on the corner of Oak and 2nd Street. Due to the downtown construction, the venue has been changed to the Brentwood Senior Activity Center (corner of Balfour Road/Griffith Lane).

The Commissioners in the past did set up/take down, refilled the refreshment areas and assisted with controlling the line leading up to Santa Claus. This event will be strictly to assist BANC (Brentwood Advisory Neighborhood Committee).

For those that may be interested in helping, please let Barbie know by November 19.

6. DISCUSSION ITEM: Update from the Youth Leadership Committee. (B. Hamblin)

Vice Chair Hamblin is still working on getting more information from Adams and Bristow Middle Schools. She has already received contact information along with alternate names and contact information from other schools. Vice Chair Hamblin will have more information at the next meeting.

City Staff Liaison Barbie Gary suggests looking for replacements to take over in the Youth Leadership Committee in preparation for those that will be graduating.

7. DISCUSSION ITEM: Report from the Fundraising Committee and discussion regarding possible dates and locations for future fundraising opportunities. (B. Hamblin)

Vice Chair Hamblin said that Adult Advisor Dave Castle emailed her with some questions to be forwarded to the Commission. The two dates mentioned by Barbie Gary are February 11 or March 25. Adult Advisor Castle inquired about what themes they may want.

A theme suggested was Neon. Ideas of utilizing neon paint and accessories would be “cool”. Some themes the Commissioners wanted to stay away from were seasonal type events and Valentines.

Chair Matt Strauss asked the Commission what goals and areas that could use improvement for future dances. Some topics that were brought up included: pre-selling tickets, more crowd control in the lines, distinctly marking where the lines form, doing the identification checks/putting on bracelets while the kids are in line, having more refreshments on hand, increasing the cost of the refreshments and specifically indicate the capacity number ahead of time.

Barbie Gary also asked if the Commissioners could check with the local middle school’s social calendars to be sure the dance will not conflict with any events the middle schools may have.

Adult Advisor Walker mentioned that he heard that PAL (Police Activity League) may be holding a dance too around the same time. Chair Matt Strauss will contact Officer Roger Wilson to confirm any upcoming events they may be planning.

It was also mentioned the possibility of having an event like a at the swim party at Brentwood Family Aquatic Complex during the warmer months.

8. DISCUSSION ITEM: Update from the Youth Commission Master Plan Committee and discussion of future activity and program ideas. (C. Walker)

The Youth Commission Master Plan Committee has now changed its name to Youth Leadership Committee. This committee will need to re-group and report back in January 2011.

COMMISSIONER COMMENTS
Commissioner Paige Ross said the Heritage Homecoming Parade was fun.
