CALL TO ORDER
The meeting was called to order at 7:06 p.m.
Commissioners Nick Castle, Matthew Strauss, Belinda Ordaz, Sarah Simmons, Chris Walker, and Lauren Conder were present. Commissioner Leah Hocking arrived at 7:12 p.m. and Commissioner Mickell Escobar arrived at 7:15 p.m. Commissioners Christine Mendez and C.C. Ahluwalia were absent. Adult Advisors Dave Castle, James Martinez and Julie Truesdell were present. Police Liaison Matt Bell was present. City Staff Liaison Barbie Gary was present.
City Staff Liaison Gary advised that the City of Brentwood recently announced budget cuts of $5 million dollars from the FY 07-08 budget. These budget cuts were the reason that the ski trips were cancelled. Although the budget sheet in the agenda packet still shows the funds in the Youth Commission account, the money will be moved out of the account soon.
In response to Commissioner Strauss’s inquiry about next year’s budget, City Staff Liaison Gary advised that more reductions are anticipated for FY08/09.
There were no changes to the agenda.
Commissioner Strauss made a motion to approve the consent calendar. Commissioner Castle seconds. All were in favor. Commissioners Hocking and Escobar were absent for the motion.
DISCUSSION ITEM Discussion regarding plans to visit local middle schools to increase middle school student involvement with the Youth Commission (N. Castle)
Commissioners advised that they’ll visit the leadership classes at the middle schools to increase involvement and awareness of the Youth Commission. City Staff Liaison Gary requested to be notified of their scheduled visit date so she can get permission for them to be excused from their school. Flyers are available for them to take to the schools.
DISCUSSION ITEM Discuss the Youth Commission’s desire to volunteer at the Lunch with Bunny event which will be held on Saturday, March 15, 2008. (S. Simmons)
Commissioners have volunteered in the past to assist with serving food, arts and crafts. This year’s event occurs on the first Saturday of spring break. The Commissioners will check their schedules and advise City Staff Liaison Gary about their availability.
• ACTION ITEM Determine date, time, location, and event details of the Middle School Movie Night and approve an amended budget of no more than $800.00 for the event. (B. Ordaz)
Adult Advisor Truesdell advised of the hourly rental and custodian fees, $75 and $35 respectively, associated with using the Heritage high school theater. The cost for the movie rights is $250. Possible event dates are April 11 or 25, 2008. However, room availability needs to be determined.
Commissioner Strauss will draft a letter for Mr. Parsons requesting a reduced rental rate for their event. He will provide the letter to Adult Advisor Truesdell to be sent to the school.
Commissioner Hocking made a motion to approve a budget of no more than $800.00 for the Middle School Movie Night but to delay selecting the date, time and location of the event. Commissioner Walker seconds. All were in favor.
• ACTION ITEM Select candidates to attend the Sacramento Experience scheduled for April 5 – 8, 2008 through CAL PAL and approve a budget of no more than $500.00. (M. Bell)
Police Liaison Bell invited the Youth Commissioners to attend the Sacramento Experience. The event is scheduled for Saturday through Tuesday and would require parent permission for the students to miss school on Monday and Tuesday. Commissioners will check their schedules, discuss with their parents and advise of their availability.
Commissioner Ordaz made a motion to approve a budget not to exceed $500.00 for the Sacramento Experience. Commissioner Strauss seconds. All were in favor.
• DISCUSSION ITEM Discuss Youth Commission’s interest in hosting the annual Tour de Starbucks fundraiser and possible dates and details of the event. (L. Hocking)
Commissioner Hocking advised that the event has usually been held in May. PAL is willing to support the event with the Youth Commission and share the funds raised.
Staff Liaison Gary advised that the Garin Ranch store is interested in hosting the event. She will contact the store to see if May 31, 2008 is a possible date.
Commissioner Hocking advised that the Heritage High School Battle of the Bands is still scheduled for April 18, 2008. They will not change their date even though it’s on the same day as the Youth Commission Battle of the Bands.
Staff Liaison Gary advised that no bands have submitted applications for our event but usually, applications are submitted closer to the deadline.
